In this project, one of the leading pharmaceuticals companies in India needed an end-to-end solution for myriad document management, workflow and auditing issues. At Taashee, our engineers took complete advantage of the Alfresco Document Management System (DMS) to come up with an effective solution for all these issues and more.
Our client is a pioneering quality-centric life sciences organization serving as one of the leading manufacturers of Active Pharmaceutical Ingredients (APIs) for anti-retrovial (ARV), oncology, cardiovascular and anti-diabetic segments. They work with all the top 10 generic pharmaceutical companies in the world and sell their APIs in 56 countries. Our client owns 177 patents, and has commercialised 60+ products since inception across three distinct business units: Generics API, Generics FDF and Synthesis.
Our client was looking for a secure Document Management System (DMS) in order to manage, collaborate and classify content as per their regular business needs. The primary requirement was the creation of advanced workflows for publishing documents with priorities set to user clearance levels such as public, internal and confidential in accordance with the client’s legal team. They were also looking for an effective system to send out reminders about the expiry of vital documents like licenses, contracts, etc. and a revamped audit system to extract, store and query audit-related data easily.
Taashee’s Alfresco experts dealt with each unique requirement in a modular, objective manner and came up with customized solutions to fit the client’s scenario to a Tee. At the coding level, our engineers came up with mail scripts that triggered mails with document links to the concerned HoD whenever any user started the workflow. In order to manage the workflow according to clearance levels, we provided the “Type of Document- Public/Internal/Confidential” dropdown option in the workflow form. A Task Alert Mechanism was developed which would trigger emails to concerned associates whenever a license or contract was about to expire. An Audit dashlet was also created in the dashboard for the admin users which showed user activity on the content along with timestamps.

This led to a 50% reduction in data loss, a 35% increase in productivity due to automated reminders, and a 27% reduction in auditing time, thus improving the overall working efficiency of the entire organization!
